What BookandManage is, how it's laid out, and how to get around: Home, the eight areas, search and the Create menu.
BookandManage is a CRM for businesses that hire out cars: short-term rental, long-term hire and rent-to-own. It runs in the browser at app.bookandmanage.com, on a desktop, a laptop or a phone, and everyone on your team signs in with their own account.
This page explains how the app is laid out so the rest of the documentation makes sense.
Home
When you sign in you land on Home. It greets you, shows the date and your business name, and then two things:
- Today: four cards with what needs doing now. Pickups today, Returns today, Overdue payments (with the amount, for people who can see finance) and New leads. Each card opens the list behind it, already filtered.
- Your business: a tile for each area, each with one live number, such as "2 pickups today", "16 available", "$6.2K due" or "15 open tasks".

Home, first thing in the morning.
- 1Search for a rego, customer, booking or any record. Press Ctrl K (⌘K on a Mac) or /.
- 2Create: a new lead, booking, customer, car, quote or payment from anywhere.
- 3Today: pickups, returns, overdue payments and new leads.
- 4One tile per area, with its live number.
People only see the tiles and pages their role allows. Someone without finance access won't see the Finance tile or the overdue amount.
The eight areas
Everything in BookandManage lives in one of eight areas. Each opens on an Overview (that area's own dashboard), with its pages as tabs across the top.
| Area | What's in it | Tabs |
|---|---|---|
| Bookings | Pickups, returns, the calendar and quotes | All bookings, Calendar, Availability, Quotes |
| Leads | Enquiries, applications and customers | Leads, Applications, Customers |
| Fleet | Cars, servicing, inspections and compliance | Cars, Car models, Categories, Maintenance, Inspections, Damage reports, Compliance |
| Finance | Invoices, payments, deposits and reports | Invoices, Payments, Deposits, Refunds, Reports |
| Contracts | Rent-to-own contracts, instalments and documents | Rent-to-own contracts, Payment plans, Ownership transfers, Documents |
| Channels | Your website widgets and the enquiries they bring in | Website widgets |
| Emails | Emails sent to customers and your templates | Sent emails, Templates |
| Team | People, roles and tasks | People, Roles and permissions, Tasks |
Settings sit behind the gear icon in the top bar.
Getting around
The top bar is the same on every page:
- Your logo takes you back to Home.
- The area switcher next to it shows the area you're in. Open it to jump to any other area, or Home.
- Search finds cars by rego or fleet number, customers, bookings, invoices and the rest. It also lists pages and actions, so typing "calendar" or "new booking" works too.
- Create opens a quick menu: New Lead, New Booking, New Customer, Add Car, Create Quote and Record Payment.
- Help lists the keyboard shortcuts and has a link to email support.
- The bell shows notifications. The gear opens Settings. Your name opens your profile, Appearance (Light, Dark or System) and Sign out.
Detail pages show a breadcrumb trail (for example All bookings › BK-10424) and create or edit pages have a back link to the list they came from.
Keyboard shortcuts
| Keys | What it does |
|---|---|
| Ctrl K or / | Search |
| ? | Show the shortcuts |
| Esc | Close a dialog or menu |
| ← → | Move between tabs |
Notifications
The bell collects alerts for your team: new leads and applications, bookings, payments, cars, compliance dates, maintenance, documents, quotes, tasks and system messages. Filter by type or unread, mark them read, or Mark all as read. Which alerts you get is set in Settings, Alerts.
Records link to each other
A booking links to its customer, its car, its invoice and its inspections; a customer shows every hire, application, invoice and payment; a car shows every booking, inspection, damage report and service. Most of the time you can get anywhere in two clicks from the record you're on.
Every record also has Notes (internal only, never shown to customers), Tasks and an activity history. Changes to money, settings and the team are written to the audit log.
